ECT Privacy Policy

GLF West Sussex Teaching School Hub Appropriate Body considers the privacy of its users to be a serious issue. Please read the following to learn more about our privacy policy. GLF West Sussex Teaching School Hub work within GLF Schools, a School Trust based in the United Kingdom, and selected by DfE as one of the 87 hubs as part of the Teaching School Hub Programme.

WHAT THIS PRIVACY POLICY COVERS

This policy covers how GLF West Sussex Teaching School Hub Appropriate Body treats personal information that GLF West Sussex Teaching School Hub Appropriate Body collects and receives. In order to collect the relevant induction information, we use ECT Manager. This web-based system is owned by Evolution Internet Ltd, and is used by over 90 Appropriate Bodies for the management of ECT Induction. The database is backed up to two sites every six hours and on a rolling 14-day basis. All data is encrypted and stored securely, and GLF West Sussex Teaching School Hub Appropriate Body remain as the owner of all data, as the 'Data Controller.' Evolution Internet Limited will not share any Information stored on the system with any third party unless one or more of the exemptions identified in the General Data Protection Regulation (GDPR) apply.

INFORMATION COLLECTION AND USE GLF West Sussex Teaching School Hub Appropriate Body collects personal information whenever a school registers an ECT with us. When doing so, schools submit the following personal information: • Name (and any previous names) • Telephone numbers • Home Address • Email address • Date of birth • Teacher Reference Number • Qualified Teacher Status information • Name of employing organisation • Nature of contract of employment • Name of previous schools at which ECT induction was served • Start date of induction • Qualifications (training information)

INFORMATION SHARING AND DISCLOSURE We will use reasonable efforts to ensure that your personal data is not disclosed to regional/national institutions and authorities, unless required by law or other regulations (e.g ECT Induction Procedures). As a requirement of ECT Induction, in accordance with the Teacher Regulation Agency (DfE) your data is used to complete the following: • Register an ECT with the Teaching Regulation Agency (TRA) • Register the outcome of induction with TRA • Send correspondence about induction with registered ECTs • Review progress reviews and formal assessments and provide feedback to schools where necessary • Contact an individual or school • Check that all ECTs registered have Qualified Teacher Status • Review induction completed in another setting, and use this to determine the duration of the induction period with the AB. •Ensure that all parties have completed the relevant training • Review ECT support plans to ensure adequate support is being provided to the ECT in cases where concerns have been raised • Provide previous assessment forms to schools where an ECT moves schools during the induction period •Maintain records of support meetings for future reference • Review and approve cases where an extension to an ECT Induction period may be required.

CHANGES TO THIS PRIVACY POLICY We may update this policy. We will notify you about significant changes in the way we treat personal information and alert you of any changes made.
